How to set up an educational process using Digital Learning function?

You can build the educational process in workflow in the Learning & Development category

  • Go to the "Workflows" tab,
  • click the "Create a new Workflow" button in the upper right corner of the screen, and then select the Learning & Development workflow category.
  • Enter a friendly name for the new workflow, e.g., "First Aid Training."
  • Add the benefits of this training:
  • Add a cover and background image. If you'd like a video to appear in the training list instead of a graphic, like on a popular streaming site, add the video URL here:
  • specify availability - you can indicate that a given training will be available only to employees of a given Category, in a given Location or to employees whose profile will be marked accordingly in the Custom Field:
  • add to promoted - if you want a given Educational Module to appear among the proposed training courses on the User Dashboard:

You can always complete the Workflow settings after it has been created.

 

Workflow Status

If you're creating a new workflow and don't want it to appear in the selection list when launching an Employee Process, remember to leave "Status" disabled:

What does the educational process look like from an employee's perspective?

A workflow can contain the following Actions:

  • Emails and SMS – notifications,
  • Pages, Stories, Videos – knowledge-sharing elements,
  • Forms – elements collecting information from employees or other Process Roles (e.g., surveys),
  • Knowledge Check – knowledge-checking element,
  • and Background Actions: Document, Data Transfer, and Start Process.

 

A Few Facts About Digital Learning

1️⃣ Individual elements that make up a Learning Module can be interdependent or have other conditions added to them that allow for content targeting.

2️⃣ Within a given Module, employees will immediately see a full list of Scheduled Actions.

However, if some of them are scheduled "in the future" and/or have a different condition set (e.g., the "Area - Administrative Employee" category), this information will be visible next to the Action in the Workflow. For Actions that are scheduled or unavailable (i.e., impossible to execute at a given time), we immediately inform the employee what they must do to unlock the Action or when it will be unlocked, if there is a time-based condition.

 

  3️⃣ On the user dashboard, the default Actions to be performed are the Scheduled Actions, but it's also possible to display all Actions, i.e., Scheduled and Completed, in a single list. This is achieved by using the "Scheduled"/"Completed" buttons.

 4️⃣ If the Educational Process consists of, for example, 5 training courses (i.e., separate workflows), they may also be interdependent. For example, the Basic Module will be released first, and after completing it, the Advanced Module will be available. In this case, the message on the screenshot will appear on the module that is not yet available:

 5️⃣ An employee can be assigned to complete a given Educational Module by their supervisor/administrator, etc., but can also independently launch a selected training course directly from their Desktop in the application - they select the training course from the list or search for it using the magnifying glass field.

 6️⃣ Actions in a given Learning Module can be grouped thematically in the Actions list. To do this, simply create a Business Sequence in the application settings and then add it to the Actions that will constitute the group. The employee will then see the grouped training courses as follows:

 7️⃣  Individual Modules can be additionally marked with labels, which will be visible in the tile next to the training name and will create filters - allowing the employee to quickly filter out educational Modules that meet selected criteria.
