What is a User portal?

The User portal is the main page of the Application used by all users= participants of the Process: Employees, Managers and other people in the organization acting in custom Roles.

This is where the tasks made available for the ongoing Process, contact information and a progress bar which reflects the status of the Process in real time..

Highlights of the User Portal:

  • one central place with all the information and tasks to do
  • real-time tracking of progress in Processes
  • pleasant use on multiple devices - the portal is responsive and adapts perfectly to the view on a smartphone

The user portal is available at the main address of your Application and in the Admin Panel from the side menu under the "Employee Portal" tab.

The user portal has a fixed element for all users: on the left side, the tasks and trainings to be performed within the running Process that have been scheduled for a given Role in Workflow appear according to a fixed schedule.

Depending on the Role of the User, additional information also appears in the Portal.

View for an Employee 

An employee using the User Portal additionally sees:

  • progress bar
  • Contacts tab.

The progress bar is used to display to the employee the most important information about his ongoing Processes.

The progress bar consists of the following elements:

  • Information on the number of days remaining in the Process
  • Information on the number of days remaining until the start of work (1st day)
  • information on the number of Actions (executed / to be executed)

  • Process ends in: 22 days
    - thanks to this information, the employee knows how long his/her Process will last

    - the employee receives information on how many Actions he/she has performed (2) in all Processes that have been launched to him/her (a total of 58 Actions in two Processes)
  • 2/35
    - the employee is told how many Actions he/she has performed (2) and how many Actions he/she has planned for the "Employee induction with Buddy support" Process (35)
  • 0/23
    - the employee is told how many Actions he/she has performed (0) and how many Actions he/she has planned for the "Employee promotion to Manager" Process (23)

⚠️ The sum of Actions in a Process takes into account all types of Actions that are assigned to an Employee (i.e. messages, tasks, training, forms).

On the right, in the Contacts tab, the Employee can see the business cards of the people involved in the running Process (including first name, last name, email address and optionally phone number) - he/ she can easily contact his/ her Manager, Buddy or IT Support (if such a Role has been included in the Process).

If the Users, appearing in the Roles assigned to the Process, set profile pictures in their profiles - the Employee will also see them.

View for the Roles

Manager and other Roles:

  • see an additional tab: Your Team
  • can filter the list of Tasks and Training by the Employee in whose Process they participate
  • can download Process and Action Reports for the entire Team or individual Users.

Under the "Your Team" tab, the Manager and other Roles can see whose Processes they have been assigned to and their current completion status.

In the "Your Team" section, Role will find the following information:

  • the name of the Employee to whom the Process was assigned
  • The number of days remaining in the Employee Process
  • The number of days remaining before the Employee starts work (1st day)
  • The number of Actions (performed / to be performed) by the Employee

The progress bar in the "Your Team" section changes color according to the condition of the Process in question. If the Employee has not completed the obligatory tasks within the set time, then the progress bar turns red.

Otherwise (when everything is implemented on time) it remains green.

⚠️ Similar to the Progress bar in the Employee Portal  the information shown in the "Your Team" section applies to the assigned Employee (number of his/her Actions, dates, etc.) and is cumulative if the Employee participates in multiple Processes simultaneously.

If a User is both an Employee and appears in another Role in the Processes of other employees, in the User Portal he/ she has both views combined.
