There may come a time when you need to modify an already published Action. You can do this in a convenient way. Just select the Action you want to modify and then publish a new version of it.
In many organizations, Processes evolve over time. Sometimes content becomes out of date, new activities or roles in the Process emerge.
With versioning, you can update your Workflow Actions and maintain the latest version without interfering with existing or past Processes.
What does this mean?
💡 Let's assume that there is an Action of type SMS in your Workflow, which contains a certain content. The Action has been published and appears in every new Process. After a few months have passed, you decide to modify its content and publish a new version.
In this case, the new version of the Action will be made available only in new Processes and in those that are currently in progress, provided that the modified Action has not yet been executed by the specified Role in the Process.
Thanks to it you don't have to delete old Actions and add new ones, but you can keep one Action with multiple versions. Your reports will be grateful to you ;-).
How to publish a new version of the Action?
Versioning is closely related to the mechanism for publishing Actions (more here). A new version of an Action is automatically created when you edit its content (a published Action) and is maintained until it is published.
After its publication, the Action automatically receives a new version and each subsequent modification (of its content) creates another version.
Remember that a new version of Action that is not published in no way affects current and future Processes. This means that you can comfortably and safely work on the new version in the comfort of your home or office. You decide when the new version of the Action should be published and delivered to Processes.
