What is an Action?

An Action is a single activity in Workflow that is assigned to a specific recipient, such as an Employee, Manager or Buddy. Each Action is characterized by its type, content, assigned recipient and embedding in time.

Example of Action:

  • Text message to the employee with an invitation to the Application, sent 30 days before his/her employment
  • E-mail to Human Resources informing them that the process of offboarding an employee has begun
  • Task for Manager: "Complete an equipment application" scheduled 30 days before hiring a new employee
  • Occupational health and safety training for the Employee made available 7 days prior to his employment

Actions added at the appropriate date and assigned to a specific Role form a Process-Workflow template. Launching a Process on the basis of a defined Workflow causes all Actions to be automatically triggered against a key date, according to the time settings.

In this way, you can automate repetitive activities, such as sending welcome messages or delivering HR documents to a candidate.

💡Example:

  • you hire an employee on September 1
  • In Workflow you have scheduled Actions for 10 days before the first day, the first day and 10 days after the first day

The employee will receive these Actions respectively: August 22, September 1 and September 11.  

Types of Action in Gamfi Application

You can use the following types of Actions in the Gamfi Application:

  • SMS (new generation) - An Action to automatically send a defined SMS message to the phone number of an Employee, Manager or other Role in the Process.
  • E-mail (new generation) - An Action to automatically send a defined message to the e-mail address of an Employee, Manager or other Role in the Process.
  • Form (new generation) - An Action to provide the user with a form to fill out, serving, for example, to submit personnel data, select a welcome pack or collect feedback.
  • Task - An Action involving the performance of various types of tasks by an Employee, Manager or other Role during the Process (e.g. Learn about the mission of our organization. See what paperwork you need to complete before hiring a new person, Learn about your responsibilities as a Buddy).
  • Training - An action involving the execution of a defined set of tasks, arranged in a training cycle (e.g. Health and Safety / Fire Safety Training, Compliance Training, RODO Training).

By scheduling the appropriate Actions in Workflow, you have the ability to:

  • automatically send email or SMS notifications
  • transferring information and knowledge in the form of tasks or training (by providing relevant content, presentations, documents, videos, etc.).
  • verify the User's knowledge using quizzes
  • collect the necessary information from users needed, for example, to prepare the contract, issue the equipment or send the welcome pack
  • receive feedback, including evaluation of the Process, training, pre-work well-being, etc.

Each Workflow can have any number of configured Actions. The Action type defines what activity a User (e.g. a Task) will have to perform (e.g. a Message) or receive (e.g. a Message) in connection with a Process launched based on this Workflow.
