What types of Actions can be used in Workflow?

There are five main types of Actions that can be used in Workflow.

You can use the following types of Actions in the Gamfi Application:

  • SMS (new generation) - Action to automatically send a defined SMS message to the phone number of an Employee, Manager or other Role in the Process.
  • E-mail (new generation) - An action to automatically send a defined message to the e-mail address of an Employee, Manager or other Role in the Process.
  • Form (new generation) - An action to provide the user with a form to fill out, serving, for example, to submit personnel data, select a welcome pack or collect feedback.
  • Task - An action involving the performance of various types of tasks by an Employee, Manager or other Role during the Process (e.g. Learn about the mission of our organization, See what paperwork you need to complete before hiring a new person, Learn about your responsibilities as a Buddy).
  • Training - An action involving the execution of a defined set of tasks, arranged in a training cycle (e.g. Health and Safety / Fire Safety Training, Compliance Training, RODO /GDPR/ Training).

By scheduling the appropriate Actions in Workflow, you have the ability to:

  • automatically send email or SMS notifications
  • transferring information and knowledge in the form of tasks or training (by providing relevant content, presentations, documents, videos, etc.).
  • verify the User's knowledge using quizzes
  • collect the necessary information from users needed, for example, to prepare the contract, issue the equipment or sending the welcome pack
  • receive feedback, including evaluation of the Process, training, pre-work well-being, etc.

Each Workflow can have any number of configured Actions. The Action type defines what activity a User (e.g. a Task) will have to perform (e.g. a Message) or receive (e.g. a Message) in connection with a Process launched based on this Workflow.

You can test all Action Types with the Workflow template called "Action Types in Gamfi Application", which is available in your Application.

SMS

An SMS type action is based on automatic sending of a defined message ( in accordance with a previously prepared template) to the User's phone number (remember to fill in the number in the user's profile!).

The message is sent on a specific date, according to the Workflow configuration.

SMS may refer to, among other things:

  • invitations to log in to the Application,
  • new task to be performed in the Application
  • welcoming a new person to the team,
  • important information before the first day of work.

The sender of the message sent in the Process is GAMFI.

E-mail

The E-mail type action is based on automatic sending of a defined message (based on a previously prepared template) to the User's e-mail address.

The message is sent on a specific date, according to the Workflow configuration.

Emails may include:

  • invitations to log in to the Application,
  • new task to be performed in the Application
  • New HR forms to fill out,
  • welcoming a new person to the team,
  • choice of welcome kit (welcome pack),
  • important information before the first day of work,
  • notification of a new employee.

Personal Questionnaire

Within the Workflow defined in the Application, the Administrator can add a task to fill in any questionnaire, serving:

  • collecting information, such as human resources
  • pulse-check tests
  • the choice of welcome packs or IT equipment.

This function is often used to streamline the formal side of the Process, which until now was done analogously (through paper applications and scans).

At various stages of the Deployment Process, pulse-check surveys - based on a survey mechanism in which the user can share his/her opinion on a designated topic (through quantitative and qualitative questions) - can be incorporated into Workflow.

Through pulse-check testing, you can examine, among other things:

  • the employee's well-being before the first day of work,
  • welcome day assessment,
  • the availability of a supervisor and buddy during the first week of work,
  • the extent of support from the supervisor and the team,
  • verification of understanding of the job's scope of tasks,
  • assessing the quality of the materials received in the Onboarding Process,
  • consistency of employee experience from the recruitment stage with onboarding.

We recommend carrying out several differentiated pulse-checks at different stages of onboarding, for example, in the week before starting work, after the first week of work and after the first month of work

Task

The Process participant can receive tasks of different types: they can consist of any type of content (text, graphic, video) and build several types of interAction with the user.

Below is a summary of sample task types:

  • educational tasks - transferring knowledge in the form of text, recording of training or reading an embedded file,
  • quiz/knowledge-testing tasks - in which the user answers questions that test the retention of their acquired knowledge,
  • Declarative tasks - in which the user declares the execution of a specific action taking place outside the onboarding application (for example, holding a deployment meeting),
  • Tasks with a decision - requiring the user to make a specific choice, such as selecting a welcome pack (task for an employee) or assigning a buddy to a specific Deployment Process (task for a manager).

Tasks completed during the Onboarding Process can be scored - points can be exchanged by the user, for example, for a material reward or a no-cost benefit, available both inside and outside the Gamfi Application (see the Webhooks section).

Training

Training is, in practice, a defined set of tasks arranged in a training cycle. The training tasks are interdependent - the user must perform them in a certain order so as to proceed to next steps. In order to pass a training course, all the tasks included in it must be completed.

Training cycles primarily use learning tasks (transferring knowledge, for example, through a video of a desktop training or a tutorial following a company tool) and quiz tasks. Thanks to the latter, it is possible to check whether the user has actually acquired the knowledge imparted during the training. The Gamfi application provides ready-made content templates for mandatory training courses, such as those on occupational health and safety and fire safety (see the Marketplace section for ready-made content).
